PTO Accrual Calculator
Paid time off under your policy: hours per pay period, per hour worked or a yearly grant, from a start date, with hours used, a cap and a carryover limit.
The balance in hours and days as of a date, the accrual per period and per year, what the cap or the year-end carryover took away, a period-by-period table and the date a target number of days is reached.
Example: 4.62 h every two weeks from 1 Jan: by 30 Jun twelve periods give 55.44 h; with 16 h used the balance is 39.44 h (4.9 days of 8 h), and five days are available after the 13th period.
Your policy's rate,
period by period.
How accrual is credited, what the cap and carryover do, and how the target date is found.
Accrual
Hours are credited at the end of each pay period after the start date: weekly (52 a year), biweekly (26), semimonthly (24, on the 15th and the last day) or monthly (12). Per-period accrual adds the rate each time; per-hour-worked accrual multiplies the rate by the hours in a period; a yearly grant is credited in full at the start and again at each policy year end. The balance as of the date is the starting balance plus everything accrued, less the hours used.
Cap and carryover
With a cap, accrual that would push the balance above it is not credited and the lost hours are counted. At the policy year end (MM-DD you set) any balance above the carryover limit is forfeited and the table marks the row; −1 means everything carries over. Both are policy settings — no statutory minimum, "use it or lose it" rule or payout rule is applied.
Target date and limits
For a number of days wanted the projection continues beyond the as-of date, up to three years, until the balance less hours used reaches days × hours per day. Hours used are treated as taken by the as-of date, not spread over time; a monthly period end lands on the same day of the month (the 28th at the latest). Nothing leaves the browser; the same four anonymous usage counts as the rest of the site apply.
